How do I set up my CRM after signing up?
After signing up, you'll be guided through an onboarding wizard that helps you connect your Google Sheet or Excel file, set up your email (Gmail or Outlook), and configure your column mappings. The whole process takes just a few minutes.
Do I need a Google Sheet to use CrawlSpace CRM?
CrawlSpace CRM works with both Google Sheets and Microsoft Excel (via OneDrive). You can use whichever spreadsheet platform you prefer. Your spreadsheet serves as your contact database, giving you full ownership and visibility of your data.
How do I import my existing contacts?
Simply add your contacts to your Google Sheet or Excel file following the column structure shown in the CRM settings. The CRM will automatically sync and display them. You can also use the Lead Search feature to find and add new prospects directly.
Is there a mobile app?
Yes! CrawlSpace CRM has a companion Android app that syncs with your web CRM. You can make and receive calls, send SMS, view contacts, and manage your pipeline on the go. Download it from your account settings or ask support for the link.
Features
How does the built-in dialer work?
The dialer uses Twilio to make and receive calls directly from your browser or mobile app. You'll get your own business phone number, call recording capabilities, voicemail drops, and automatic call logging. Calls are billed at $0.02 per minute and texts at $0.01 per message from your credit balance.
Can I send emails from the CRM?
Yes! Connect your Gmail or Outlook account and send emails directly from contact records. You can use email templates, schedule sends, track opens, and add email steps to automated sequences. Your emails are sent from your actual email address, not a generic CRM address.
How do sequences work?
Sequences are automated multi-step outreach workflows. You can combine email, call, text, and manual tasks into a sequence, set delays between steps, and assign contacts to them. The CRM automatically advances contacts through each step on schedule.
How do I set up SMS messaging?
SMS requires carrier verification (10DLC registration). Go to Settings > Phone > SMS Messaging and follow the registration steps. You'll need to provide your business information for carrier verification, which typically takes 1-7 days to approve. Once approved, you can send and receive text messages directly from the CRM.
What reports are available?
CrawlSpace CRM includes 20+ reports including pipeline analysis, revenue forecasting, sales velocity, win probability scoring, source performance, owner performance, sequence effectiveness, and more. Reports can be filtered by date range, lead source, owner, and other criteria.
How does the lead-to-contact conversion work?
When a lead reaches "Closed Won" status, a Convert button appears. Clicking it opens a form where you enter the revenue amount, contract start date, renewal date, and check-in cadence. The lead is then moved to the Customers section with full post-sale lifecycle tracking including health scoring, check-in reminders, and renewal alerts.
How does project management work?
CrawlSpace includes a full project management system with two board types: Jobs (Customer) for client-facing work and Projects (Internal) for team operations. Each has a kanban board with drag-and-drop cards, plus List, Timeline/Gantt, Calendar, and Dashboard views. Six ticket types with unique icons (Task, Bug, Feature, Epic, Milestone, Service Request) help categorize work. Features include tag management, quarterly roadmaps with target end dates, planned vs actual start date tracking, subtasks, dependencies, time tracking, custom fields, comments with @mentions, and in-depth reporting by assignee, type, and cycle time. Drag-and-drop project prioritization and a cross-project "My Tasks" view round out the experience.
How do I send invoices and accept payments?
The Financial tab connects to Square (with Stripe coming soon) via OAuth. Once connected, you can create branded invoices from any customer detail or from a Closed Won lead. Each invoice carries line items (you can pull them from your inventory), a due date based on your configured payment terms (Due on receipt or Net 7-90), and a customer email template you fully control (rich text, images, placeholders). Customers pay on a Square-hosted page and the CRM auto-updates the invoice status, logs the payment to the contact's activity, and pushes a revenue timeline entry. CrawlSpace never touches your money — it flows directly to your Square balance.
Can I edit lead and customer fields one at a time?
Yes. Every field in the lead/customer detail panel has its own pencil icon — hover the field, click the pencil, type, then click ✓ to save (or press Enter). Press Escape to cancel. There's no global "Edit Mode" — each field is independently editable, so you don't need to scroll up to start editing or scroll back up to save. Inputs adapt to the field type (email, phone, URL, dropdown, textarea), and changes save instantly to your CRM database or connected sheet. The same pattern works in the Leads view, the Customers view, and the contact panel inside a company.
How does email engagement tracking work?
Every email sent through the CRM is tracked for opens (via a tracking pixel), clicks (via link rewriting), and replies (matched from your connected inbox). Each contact gets an engagement score = opens × 1 + clicks × 3 + replies × 10, with recency decay. The score appears on an Email Engagement card on every contact's detail page. Use the score to prioritize follow-ups: high-engagement contacts are warm; zero-engagement contacts may need a different angle. Known scanner bots (Mimecast, Proofpoint, Barracuda, social-media unfurlers) are filtered out so the data reflects real human reads.
Team & Organizations
Can I invite my team to share the CRM?
Yes. Go to Settings → Organization to manage your team. The org owner buys seats ($29.95/seat/month), then invites members via email. Each accepted invite covers that user's subscription — they don't need their own. Roles include Owner (full control + billing), Admin (manage members), Member (work with all data), and Viewer (read-only). Leads, customers, sequences, templates, products, and reports are shared across the org; email tokens, phone numbers, and personal preferences stay private to each user.
How do permission profiles work?
Permission Profiles let owners and admins control which tabs each team member can see and edit. Five presets ship out of the box (Full Access, View Only, Sales, Project Manager, Marketing), and you can build custom profiles with per-tab Edit / Use / View / Hide settings across all 21 main tabs. The enforcement runs at both the UI layer (hiding controls) and the database layer (Row Level Security in PostgreSQL), so a clever user can't bypass restrictions by opening DevTools.
Can I disable expensive Twilio features for my whole org?
Yes. In Settings → Organization, owners and admins can flip toggles to disable call recording, call transcription, voicemail drops, and 3-way conference calling for everyone in the org at once. When a feature is OFF: the corresponding button is hidden from the dialer UI, and the server-side API rejects requests with HTTP 403 — so the feature is truly disabled, not just hidden. Useful when you want to keep costs predictable: disabling transcription alone saves $0.05/recording-minute across the team.
SMS & Texting
How much does SMS cost?
$0.01 per message segment for both outbound and inbound texts, drawn from the same prepaid balance as calls. Long messages (over 160 chars) are split into segments — a 200-character text bills as 2 segments. There's also a one-time 10DLC carrier registration fee ($4 brand + $10 campaign) when you first set up SMS. After that it's pure per-message cost.
Why does SMS need 10DLC registration?
US carriers (T-Mobile, AT&T, Verizon) require business-grade SMS senders to register their brand + use case under the 10DLC framework. This protects consumers from spam and gives your messages priority delivery. Registration happens once per business: you provide your business name, type, EIN, and address, and approval typically takes 1-7 days. Once approved, you can send and receive texts from any contact in the CRM.
Can I add SMS steps to my sequences?
Yes. Sequence steps can be Email (Auto), Email (Manual), Call task, SMS, or Manual Task. SMS steps fire automatically on schedule from your Twilio number. Best practice: use SMS sparingly — texts have higher engagement than email but feel more intrusive. A 5-touch sequence with one SMS step in the middle works well; an all-SMS sequence will get you blocked by carriers.
How do I make sure I'm only texting people who opted in?
Each contact has a "Texting Available" field (Yes / No / Not Set). The Text button on the contact detail is disabled until you set this to Yes — that's your manual opt-in record. For sequences, SMS steps skip contacts where Texting Available is anything other than Yes. Use the field to track explicit consent (e.g., "yes" only after they reply YES to your initial outreach or check a consent box on a web form).

How much does CrawlSpace CRM cost?

Is there a free trial?
Yes! You get a full-featured free trial to explore the CRM before committing.
How do phone credits work?
Phone credits are prepaid and shared between calls ($0.02 per minute, rounded up) and texts ($0.01 per message). You can purchase credits from your account settings. Your balance is shown in the CRM, and you'll get a warning when it's running low.
Can I cancel my subscription?
Yes, you can cancel anytime from your account settings. Your data remains in your Google Sheet or Excel file since you own it - nothing is lost when you cancel.
Can I use the CRM on multiple devices?
Yes! You can be logged into the web CRM and the mobile app simultaneously. Each platform has its own session, so using one won't log you out of the other. However, you can only have one active web session and one active mobile session at a time to prevent account sharing.
